TERMS & CONDITIONS FOR CAR RENTAL AGREEMENT

This rental vehicle contract ("Agreement") is made between Rent A Car East Africa (the "Operator") and the Client (the "Hirer"). The following is agreed:

1. VEHICLE DESCRIPTION AND TERM OF HIRE

The Operator will rent and the Hirer will take the motor vehicle, details of which are set out in this contract ("Vehicle"), for the term of hire as described in this Rental Agreement.

2. PAYMENTS BY HIRER

The Hirer shall pay the Operator for the hire of the Vehicle as per the Booking confirmation, either in USD or Ugandan Shillings, at the Operator's standard exchange rate.

• A security deposit of $500 may or may not be required before the rental, refundable after the trip.
• Payments are made in cash upon arrival, bank transfer, or Visa credit card (with an additional 4% surcharge for bank transfers).
• The Hirer will be liable for additional charges, including extra days used, late returns, damages, fines, toll charges, and border crossing exit fines.
• The Hirer is responsible for fuel and oil expenses during the rental period.

3. USE OF THE VEHICLE

The Hirer must not:

• Use the Vehicle for transporting passengers for hire or reward unless agreed with the Operator.
• Sublet or allow the Vehicle to be used by someone not party to the contract.
• Operate the Vehicle in violation of Ugandan or East African laws.
• Engage in races, rallies, or contests.
• Drive the Vehicle on restricted roads or areas as per the contract.
• Alter or replace any parts or accessories without the Operator's consent.
• Tow another vehicle without the Operator's consent.

4. HIRER'S OBLIGATIONS

The Hirer must:

• Take reasonable care while driving and parking.
• Maintain water, oil, and tire pressures at the proper levels.
• Keep the vehicle locked and secure when not in use.
• Report any warning lights or mechanical issues immediately to the Operator.

5. OPERATOR'S OBLIGATIONS

The Operator will supply the vehicle in a safe, roadworthy condition with valid Third-Party insurance.

6. MECHANICAL REPAIRS AND ACCIDENTS

In the event of an accident, the Hirer must notify the Operator immediately.

The Hirer shall not undertake repairs or leave the scene without police inspection and Operator's consent.

The Operator will arrange repairs or a replacement vehicle within a reasonable timeframe.

7. INSURANCE

The Operator's rental fleet is insured under a motor vehicle insurance policy in Uganda.

Insurance covers vehicle damage, head-on collisions, and theft, but does not cover personal insurance, negligence, or damage from engine knocking, deep water, or smoking.

The Hirer must notify the police immediately in case of an accident.

The Hirer is responsible for paying any excess charges related to insurance claims.

8. EXCLUSIONS FROM INSURANCE COVERAGE

The Hirer is personally liable for damages caused by:

• Exceeding speed limits (fine of $80).
• Single vehicle accidents or rollovers ($1000 fine).
• Careless driving (including engine damage due to negligence).
• Loss or theft of car keys (replacement cost applies).
• Cross-border travel without prior Operator consent.

9. DRIVING TIME & ADVICE

Driving is allowed between 6:00 AM and 7:00 PM. Violations may result in fines.

Speed limits must be observed, especially in protected areas or National Parks.

10. FUEL & GASOLINE

Vehicles are provided with ¼ tank of fuel. No refund is given for unused fuel at the end of the rental.

11. VEHICLE RETURN

At the start of the rental, the Hirer must specify the final destination for vehicle pick-up.

Any changes to the return location may incur additional charges.

12. BREACH OF THE CONTRACT

Any changes to these terms must be agreed upon in writing and signed by both parties.

In case of an accident, the Hirer may be subject to a daily driver fee for the remainder of the trip.

CANCELLATION POLICY

• 60+ days before departure: 25% booking fee forfeited.
• 59-35 days before departure: 50% forfeited.
• 34-15 days before departure: 75% forfeited.
• 14 days or less before departure: 100% forfeited.
